In detail
Hair extensions: long appointments, a calendar that holds up.
An extension install takes most of an afternoon, and a client who shows up late or not at all leaves you three empty hours with the wefts already laid out on the trolley. Here is how to organize consultations, installs and maintenance without spending your evenings on the phone.
Consultation first, then the install
Your list starts with three items: a half-hour consultation, a three-hour extension install and a ninety-minute maintenance. Clients usually begin with the consultation, booked from your link: you look at the hair, pick the method, keratin bonds, tape-ins or micro rings, and order shade and weight. Once it’s done you set the install date yourself, when you know the hair will arrive in time. If you want everyone to start with a consultation, say so in the notice at the top of your page: anyone opening the link reads it.
Three hours that really stay free
Once an install is on the calendar, the entire block is taken: nobody online can slip a consultation into the middle of the afternoon. If there are two of you, each has her own days, hours and the methods she applies, and clients pick who they book with. Training days, breaks and vacations get closed once. If an install overruns, you flag it with one tap: the next client sees the updated time on her page and, with notifications on, gets the alert before she starts driving.
Keeping track of maintenance
Extensions need moving up after a few weeks. When the install is finished you put the maintenance on the calendar and the client finds it on her page; if she needs another day, she proposes the change from there and you accept it with one tap. Notification reminders reach those who turned them on; everyone else gets a WhatsApp from the salon’s number with the wording ready. In the contact list you note method, length and shade of the hair used: the client card holds text notes, not photos.
When someone skips
Three lost hours hurt more than a missed blow-dry. Set an online cancellation limit of up to forty-eight hours: past that point the client can’t cancel from the link on her own. If someone doesn’t show, mark her as a no-show, and from then on every new booking she makes waits for your approval. When an afternoon opens up, the waitlist alerts whoever asked to get in that day. Prices stay hidden until you switch them on, since they depend on grams, length and method.
