In detail
An accounting office where clients book meetings from one link.
An accountant’s year has a fixed rhythm: quiet months, then weeks when everyone wants to come in before the same deadline. Here is how you spread meetings across the calendar, let people book when they need you and stop spending whole days calling clients back.
First meeting and consultation
You start with two items: a one hour first meeting, for the freelancer who just registered for VAT or the new client carrying several years of paperwork, and a thirty minute consultation for a quick question. Clients booking from your link only see slots of the right length. Add whatever else you need, with plain names that hold no data: «Tax return» or «Bookkeeping» are fine. In the notice at the top of your page, list what to bring, such as expense receipts or income statements, so the meeting wraps up in one go. Prices stay hidden unless you choose to show them.
Deadline rush
During busy weeks you can add extra slots outside your usual hours, a Saturday morning or an evening, and remove them once the deadline has passed. In August set your holidays once and nobody books those days. Online, a client can hold at most two active bookings: if a company needs more meetings, you add the rest from the diary. When a full slot frees up, whoever was on the waiting list is told. Clients who need to move can ask from their page up to two hours before: the request comes to you and you accept it with one tap.
Clients of every age
The retiree who has trusted you for twenty years and the young freelancer on a flat-rate scheme are not reminded the same way. Anyone with notifications on gets a reminder the day before and two hours before, and can answer «I’ll be there». For everyone else, open the manual reminders list and choose: WhatsApp with the message ready, a text, or a call, always one tap and from the office number. Import your address book from the phone contacts, and keep notes practical, like the name of the son to call. Ledgers, receipts and tax data stay in your accounting software.
Your office team
Every accountant and assistant has a diary, working days and the items they handle, up to 12 people. Invite colleagues with a link and decide what each one may do. When a meeting runs long and the next client is already on the way, send a delay alert and they see the new time. Statistics show how many appointments the office had and who handled them. SeeYouNext does not keep the books, does not send files to clients and does not collect fees: it gives, moves and reminds appointments.
